We are currently seeking a Membership & Office Administration Coordinator to join our team. This key position supports the administrative needs of the club and ensures excellent service for our valued members and guests.
Position Overview
The Membership & Office Administration Coordinator plays a critical role in managing member sales and services, supporting club operations, and assisting with general administrative tasks. This position requires exceptional customer service, strong organizational skills, attention to detail, and the ability to work collaboratively with all departments.
Key Responsibilities
Membership Services
• Act as the primary point of contact for current and prospective members.
• Manage member accounts, including processing applications, renewals, billing, and profile updates.
• Maintain accurate membership records in the club management software.
• Provide timely responses to membership inquiries and concerns, ensuring a positive member experience.
• Assist in the coordination and promotion of member events, communications, and programs.
Membership Sales
• Actively promote and sell club memberships to prospective members through phone calls, emails, and in-person interactions.
• Conduct tours of the facility for prospective members, showcasing the club’s amenities, programs, and benefits.
• Develop and maintain a database of prospective members and manage consistent follow-up to convert leads into sales.
• Collaborate with the General Manager to create and implement membership sales strategies and campaigns.
• Work closely with the marketing team to assist with the creation of promotional materials and digital content aimed at increasing membership interest.
• Track and report on membership inquiries and sales.
Office Administration
• Provide administrative support to the General Manager and department leaders.
• Assist with accounts receivable, invoicing, and other financial administrative tasks.
• Prepare and distribute club communications, including newsletters, email updates, and member notices.
• Maintain organized files, records, and documents related to club operations.
• Support coordination of meetings, including scheduling, preparation of materials, and minute-taking as needed.
General Support
• Answer phones, respond to general inquiries, and greet visitors in the office.
• Collaborate with the management team on special projects and club initiatives.
• Perform other duties as assigned to contribute to the smooth operation of the club.
Qualifications
• Previous experience in an administrative or customer service role (experience in a golf club, hospitality, or member-based organization is an asset).
• Excellent verbal and written communication skills.
• Strong organizational skills with the ability to manage multiple tasks and deadlines.
• Proficiency with Microsoft Office (Word, Excel, Outlook) and experience with club management or CRM software is an asset.
• Friendly, professional, and team-oriented demeanor.
• Ability to maintain confidentiality and handle sensitive information with discretion.
• Experience working with financial data (invoicing, payments, etc.) is preferred.

Compensation & Benefits
Salary Range: $52,500 - $57,500 per year, commensurate with experience.
